Journal entries

Where to find it

Open Accounting -> Operations -> Journal entries.

What you can do here

The journal entries list allows you to:

  • create a manual journal entry;
  • open and edit an existing entry;
  • delete an entry;
  • open the source document for generated entries.

Unposted entries are highlighted in the list.

Journal entry card

The journal entry card contains:

  • Date
  • Number
  • Company
  • Journal
  • Description
  • a table of lines with Account, Debit, and Credit
  • totals for Debit and Credit

Available actions:

  • Post
  • Unpost
  • Source - opens the source document when the journal entry was generated from another document

Main rules

  • A posted journal entry must be balanced: total debit must equal total credit.
  • If Readonly posted journal entries is enabled in settings, posted entries cannot be edited until unposted.
  • Entries on or before the Lock date cannot be changed.

Files and comments

The journal entry card also has tabs for:

  • Files - attachments with preview/open support
  • Comments - discussion or notes on the entry

These tabs are useful when you need to keep supporting documents or explain corrections.

Typical manual entry flow

  1. Create a new journal entry.
  2. Fill company, journal, date, number, and description.
  3. Add debit and credit lines.
  4. Check that totals are balanced.
  5. Click Post.

If you need to make corrections later, use Unpost, edit the entry, and Post it again, provided the entry is not locked by the lock date.
